Did Not Attend (DNA) & Attendance Policy

Applicable to: NHS Right to Choose | Private | Insurance Patients

This policy outlines the Did Not Attend (DNA) procedures for all patients seen by Insight Diagnostics Global, whether referred via the NHS Right to Choose pathway, self-funded (private), or through medical insurance. The policy is designed to ensure the fair and efficient use of clinical appointment time and to safeguard the continuity of patient care.

 

1. Scope

This policy applies equally to all appointment types:


• NHS Right to Choose assessments and titration reviews
• Private (self-pay) consultations
• Insurance-funded consultations
• All video and in-person consultations

2. Appointment Reminders

All patients will receive an automated appointment reminder 24–72 hours before their scheduled video consultation. It is the patient’s responsibility to ensure that their contact details (email address, mobile number) are accurate and up to date.

3. What Happens If You Do Not Attend

3.1 During the Video Consultation

3.2 First DNA

Following a first DNA:
• An automated correspondence will be sent to the patient and their GP confirming the missed
appointment.
• The patient will be offered one further opportunity to attend.
• To rebook, the patient must contact the administration team directly at
admin@insightdiagnostics.co.uk.
• The appointment will not be automatically rescheduled.

3.3 Second DNA — Discharge from Service

Following a second DNA:
• The same process applies (10-minute message, 15-minute phone call).
• A second DNA will result in immediate discharge from the service.
• An automated discharge letter will be sent to both the patient and their GP.
• The patient may be re-referred by their GP if the GP deems it clinically appropriate. A new referral will be required.

4. Cancellation Policy — Private (Self-Pay) & Insurance Patients

The following cancellation policy applies to all private (self-pay) and insurance-funded appointments:

The DNA policy (1st DNA warning, 2nd DNA discharge) applies equally to private and insurance patients.

5. Insurance Patients — Additional Requirements

In addition to the cancellation and DNA policy above:
• A credit card or debit card will be requested to be held on file, depending on the insurance provider.
• The card on file may be charged for any shortfalls, policy excesses, or charges not covered by the insurer.
• DNA and late cancellation charges will be billed to the card on file where the insurer does not cover missed appointments.
• Patients are encouraged to check their policy coverage and excess before booking.
